Under general supervision performs clerical functions required in preparation of correspondence and complex reports, minutes and memos. Screens, refers and reply’s to telephone inquires, greets and directs visitors. Handles incoming and outgoing mail, maintains files and record systems(s). Operates standard office equipment. Drafts response memo’s for supervisor’s signature. Prepares special presentation reports and spreadsheets. May involve some project work and any other office duties as it relates to the department(s) business needs.
High School Diploma or GED
MINIMUM EXPERIENCE REQUIRED:
Ability to speak, read and write the English language
Proficient word-processing, excel, grammar, organizational and communication skills etc.
Demonstrates proficiency with standard office equipment.
Knowledge of preparing presentation reports.
ESSENTIAL JOB FUNCTIONS:
Prepares standard reports, graphs, memo’s minutes for the department head. Answering phones, distributing all incoming and outgoing mail in a timely manner.
Establishes and maintains filing systems.
Assist in preparation of payroll time sheets
Makes appropriate room and AV arrangements, takes minutes as requested. May coordinate meetings for department heads.
Responsible for ordering departmental supplies, processing requisitions and purchase orders to maintain an adequate level to allow for normal departmental functioning.
Operates standard office equipment: computer, ten key, photo copier and fax machine etc.
Performs other duties as assigned.
Works with staff and other departments in coordinating effective communication activities.
Portrays appropriate confidentiality when communicating.
Prioritizes multiple department tasks and projects to ensure they are completed in the required time frame.
Ability to organize work in order to complete required duties.
