Performs advanced secretarial functions required in preparation of correspondence and complex reports, spreadsheets and graphs. Screens, refers and reply’s to telephone inquires, greets and directs visitors. Handles incoming and out going mail, maintains files and record systems(s). Works on assignments that are moderately complex. Plans, organizes and priorities own tasks and responsibility according to department(s) director. Involves project work assignments.
High School Diploma or GED
Two years of business college or other comparable secretarial training preferred
Work Experience Requirements
4 years or greater of advanced secretarial experience.
Ability to speak, read and write the English language
Must have advanced word-processing skills, excel, spreadsheets, graphs; power point or similar software, etc
Demonstrates proficiency with standard office equipment.
Ability to prepare presentation reports.
Position Duties (Essential Functions, Include % of Time)
GENERAL CLERICAL - 50%
Position consistently uses variety of software, prepares routine and complex reports, graphs, memos, manuals, policies and procedures documents etc. Answering phones distributing all incoming and outgoing mail to meet department expectations.
Assist in preparation of payroll time sheet.
Schedules director’s appointments, coordinates meetings, agenda materials, makes appropriate room and AV arrangements, takes minutes as requested.
Responsible for ordering departmental supplies, processing requisitions and purchase orders to maintain an adequate level to allow for normal departmental functioning.
Sufficient knowledge of graphics presentations skills and able to provide simple database development.
TIME MANAGEMENT AND COMMUNICATION - 50%
Works with staff and other departments in coordinating effective communication activities.
Must have effective interpersonal skills including ability to maintain confidentiality.
Prioritizes multiple department tasks and projects to ensure they are completed in the required time frame.
Ability to organize work in order to complete required duties.
Able to deal with multiple tasks and interruptions with minimal supervision.
