The Regional Risk Management Coordinator will serve as a key representative for patient relations and risk management within the region. This position is responsible for addressing patient concerns and complaints with professionalism, sound judgment, and a commitment to timely resolution. The Coordinator will independently manage concerns when appropriate and escalate complex or sensitive issues to the relevant department or leadership, ensuring thorough follow-up and resolution.
Key responsibilities
Responding to and resolving patient concerns in a timely, professional, and compassionate manner
Escalating issues as needed and ensuring appropriate follow-up through resolution
Partnering with leadership to support risk mitigation strategies and patient relations initiatives
Assisting in the development and implementation of policies and processes to ensure consistency and reduce risk exposure
Coordinating meetings, training sessions, seminars, and other events between regional teams and the System Risk Management Department
Manages detailed assessments of high-risk claims with a medical/legal plan to prevent claim elevation.
Reviews and evaluates potentially compensable events (PCEs) early for Baylor Scott & White Health (BSWH). Collaborates with leadership, clinicians, medical providers, and team members on risk management initiatives to minimize the organization's risk exposure.
Reviews incident reports to assess potentially compensable events (PCEs) for further investigation.
Shares investigation findings and complaints about potential liability with Risk Management legal counsel when appropriate.
Interacts with clinicians, medical providers, leadership, and staff for timely reviews, feedback, recommendations, and resolution of professional liability claims. Coordinates follow-up and collaborates with multiple reviewers to ensure a timely response.
Oversees reviews with Patient Relations staff for timely case reviews. This ensures meeting regulatory guidelines. Reviews patient complaints that may lead to legal action. Discusses and offers solutions to resolve grievances with patients or families. Supports proper investigation and resolution.
Enters and supports all required data elements, study and outcomes in the Risk Management database per deadlines and reporting purposes.
Ensure medical records, patient billing records, and incident reports are obtained and managed. Medical examiner's reports are included if available. All documents are maintained and secured for documentation. Special billing arrangements are made as needed.
Prepares comprehensive written case summaries for meetings, depositions, and outside litigation assistance. Provides professional and concise verbal presentations of PCE cases at scheduled Risk Management Department meetings, System meetings, and other requested meetings. Compiles reports and data study requests to support BSWH Risk Management.
Acts as a liaison between attorneys, clinical staff and medical providers in matters involving outside meetings, depositions and narratives.
Key Success Factors
Exceptional understanding and experience with healthcare professional liability, safety, risk, and quality concepts. Experience using quality improvement methods and tools is preferred.
Ability to collect and examine data utilizing statistical methods to recognize trends and drive change.
Excellent verbal and written presentation skills.
Possesses strong interpersonal, leadership, and team-building skills. Can interact well with all organization levels, including administration, professional staff, and front-line staff.
Advanced skill set in the use of computers and related software including Microsoft Office Suite and other applications.
Maintains current knowledge of state and regulatory standards for compliance. Assists the department in maintaining compliance with all applicable standards.
Qualifications The ideal candidate will have relevant experience, with a background in paralegal studies, healthcare/clinical practice, or a related field. Strong communication, problem-solving, and organizational skills are essential.
